The Warm Welcome

Start the conversation the right way.

The way you answer each and every call is incredibly important. Your introduction lays the foundation and tone for the entire call. If it is rushed, or misses a key element, patients start with a negative impression. This section covers the 4-parts to a great warm welcome, the do’s and don’ts for how to start off your calls and the impact that it has.

Shift the Power

Avoid awkward silences, uncertainty, and control the conversation.

Too many receptionists will let callers lead the conversation, answering their questions with simple ‘yes’ or ‘no’. This experience leads callers to feel pressure to have to figure out what to say. Generally this leads to a conversation around cost. If you can be the one leading the conversation, your caller gains a sense of professionalism and security.

Discovery Questions

Ask strong questions that will have your patients thinking “wow, they really care about me!” Most receptionists will ask typical “form filler” questions (what is your name, number, do you have insurance, etc). These questions are important, but nothing special. Callers don’t respond positively to these questions either. Learn how to ask the right questions and stand out.

Build Rapport

Leave your patients thinking “I really like the staff, they know me”.

Positive rapport has the highest correlation for booking patients. Using the answers from the discovery questions as well as some general acts of kindness (empathy, nice tone, laughter), patients will feel like you really care about them.

Promote the Practice

Exaggerate your benefits, stand out against your competitors.

The rarest thing we hear in calls is staff saying positive things about where they work. If you can speak positively about your practice, your patients absorb that positive feeling and look forward to their visit.
